Responsibilities:
  • Monitor and assess the performance of the Administrative staff and provide coaching and guidance to ensure maximum efficiency.
  • Ensure that all files, forms and other important documents are organized.
  • Ensure that Administrative staff assists in all operational duties.
  • Prepare reports and coordinates schedule of all meetings of the landlords/board of Trustees/clients.
  • Conduct a weekly meeting for the Administration staff to discuss issues and concerns encountered and make a resolution or action plan accordingly.
  • Ensure the smooth and adequate flow of information within the Property Management Group.
  • Manage schedules and deadlines.
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
  • Performs related administrative duties, as assigned by Management.
  • Make regular updates to Head Office on all concerns regarding the property/site.
  • Make regular inspection of the property/site.
  • Assist the Property Manager in conducting regular meetings with the sub-contractors.
  • Assist the Property Manager in developing a 24-hour communication system.
  • Assist the Property Manager in developing a comprehensive house rules.
  • Assist the Property Manager to strictly enforce approved house rules.
  • Provides regular reports to the management company and the Landlord regarding status of the Property Admin services.
  • Conducts regular meetings with landlords and retail tenants to anticipate tenancy issues and concerns of landlords.
  • Assist the Property Manager in developing
  • Assist in orienting the security force on the house rules and other special instructions in the property/site.
  • Ensure that the security agency is implementing all requirements as stipulated in the service agreement contract.
  • Assist the Property Manager in orienting the housekeeping staff on the house rules and other special instructions in the property/site.
  • Ensure the cleanliness and order in the property/site.
  • Ensure that any unusual activities and incidents are immediately reported by the housekeeping.
  • Ensure that the housekeeping agency is implementing all requirement as stipulated in the service agreement contract.
  • Conducts regular meetings and discussions with identified locator contact persons.
  • Ascertains locator concerns related to building facilities, building management and estate issues.
  • Channels specific findings to concerned departments, divisions or assigned building/site for immediate action and resolution.
  • Coordinates directly with concerned departments, divisions or assigned building/site for the development of solutions and action plans directly impacting the locators’ concerns and complaints.
  • Ensures that solutions and action plans are in consonance with the locators’ key concerns and advocates their desired position within the Company’s/Building guidelines, policies and procedures.
  • Conveys and coordinates action plans and solutions with locators, and measures deliverables and delivery timelines within commitments.
  • Measures impact performance of projects, actions and solutions to determine results relative to projections.
  • Evaluates data, performance and productivity gains against locator perceptions and needs.
  • Ensure that the Property Safety Plan is communicated to all tenants/clients and staff.
  • Ensure that Fire Safety Guidelines are complied with.
  • Ensure that the property/site is covered by insurance policy.
  • Ensure that all government requirements are complied with.
  • Ensure that all Association Dues, rental fees and other revenue sources of the building are properly billed by the Property Management Group on time.
  • Develops a project calendar to ensure a smooth cash flow, and ensure that all. project projects are implemented within set schedules.
  • Ensures that all expenses are within the budget allocation.
  • Prepare a monthly year-to-date summary of actual revenues and expenses and compare these with the prepared budget.
  • Coordinate with the internal auditor to determine accuracy of the actual expenses.
  • Analyzes variances between the actual revenues and expenses and the budgets.
  • Continuously develop and implement ways to enhance the appearance efficiency of the property/building and its equipment.
  • Suggests ways to streamline the administrative process to offer the best service to the clients.
